About the Boosters
Liberty Hill Band Boosters (LHBB) is a 501(c)(3) non-profit organization that supports the Liberty Hill Panther Band and Color Guard. The Boosters provide financial support for most of the Panther Band and Guard’s basic operating expenses. We buy instruments, pay for the music and marching shows, pay for contest entry fees and transportation, and cover the entire cost of the Color Guard.
Our Band Booster group is constantly involved in fund-raising efforts to cover these expenses (and more). We also support band programs at Liberty Hill Middle School and Santa Rita Middle School with contributions and in-kind support.
What do the Liberty Hill Band Boosters do?
In our effort to support the LHISD band directors and students we sponsor many fundraising events throughout the year. Funds raised allow the Boosters to help defray the costs of:
Instrument purchases, maintenance, and repair
Marching music, drill design, field props, and equipment
Technicians and Clinicians for band, percussion, and color guard
Provide merit scholarships to band seniors
Provide financial assistance for participation costs through an application process.
Uniform repairs and replacement
Equipment Trailers and transportation
There is more to being a booster than money though; the boosters also provide physical and moral support to our bands by moving equipment, chaperoning trips, cheering from the stands, and much more.

Every parent is a member of the Band Boosters, and we need everyone's support and participation. We communicate to band/guard families through e-mail, Booster meetings and our band website, www.lhpantherband.org. Please visit the Calendar page to check for important dates.

Band/Guard Booster Executive Leadership meetings will be held on the second Monday evening of each month at 6:30 p.m. in the Liberty Hill High School Band Hall. Fall meetings are crucial to organize fundraising activities and keep abreast of marching season needs; spring meetings include competitions, election of new officers and planning for next year. We urge all band/guard parents to attend and welcome your input!

Payments by Check to the Band Boosters
Checks should be made payable to the Liberty Hill Band Boosters, and according to LHISD guidelines, should include your driver’s license number and home phone number. There will be a $25 fee assessed for any returned items.
If a check is returned by your bank, please contact the Treasurer, (treasurer@lhpantherband.org), to make arrangements to repay the check and pay the $25 returned item fee. If returned items remain outstanding, any future payments (for band trips or other items) will be applied first to the outstanding item, and you may be required to make future payments in cash, money order, or cashier’s check.
Booster Officers

The Concessionaire shall:
be responsible for the purchase, storage and distribution of supplies necessary to operate the concession stands;
recruit stand managers;
organize procedures for volunteer workers to ensure successful concession operations;
oversee the work of the following operational leaders, if appointed by the Executive Board, including, but not limited to:
the Freshmen games Concession Stand Manager(s);
the Junior Varsity games Concession Stand Manager(s); and
the concessions stand manager(s) for any contest(s), show(s) and any other event(s) tem description

Qualifications of the President
• The President should have a broad range of experience in performing the tasks of LHBB and/or overseeing the work of operational leaders having served in a board position for at least one (1) year
The President shall:
• Review the Bylaws at the first meeting of the Program year with the new Executive Board
• Set and publicize the meeting agenda at least 24 hours prior to the meeting and preside over all meeting of the General Membership and meetings of the Executive Board;
• Appoint special committees with advice and consent of the Executive Board as the need arises;
• Act as liaison between the LHBB and the Band Directors;
• Obtain approval from the Band Director(s) and Executive Committee before authorizing the acceptance of funds or goods that are offered to the organization;
• Be an ex-officio member of all committees;
• Serve as signatory on checks;
• Check LHBB post office box on a weekly basis;
• Create/write and distribute the monthly Booster newsletter
• Maintain records of all presidential duties and best practices to pass on to their successor

Keep an accurate and cumulative record of the minutes of the meetings
Maintain the meeting sign-in list for Executive Committee and General Membership meetings;
Be responsible for the postings and/or distribution of recorded minutes of the General Membership Meetings within one week following a meeting
Be responsible for any correspondence or acknowledgment letters for organization activities including, but not limited to, thank you cards, and any other correspondence the Executive Board may deem necessary;
Act as vote tabulator in all voting matters;
Serve as signatory on checks;
Maintain records of all secretarial activities and best practices to pass on to their successors

Qualifications of the Treasurer
The Treasurer must have experience in accounting or bookkeeping
The Treasure shall:
Act as custodian of all LHBB funds;
Maintain the books of accounts and records including bank statements with reconciliations, receipts, budgets, invoices, paid receipts, and canceled checks;
Present a financial report (including income and expenditures, and budget vs actual comparison), both written and verbally, at meetings of the Executive Board and meetings of the General Membership;
Make and/or confirm deposits and disbursements are made in a timely manner in accordance with the budget approved by the general membership;
Deposits must be reviewed and certified, in writing, by two members of the Executive Board. The assistant Treasurer may also serve in this role
All cash receipts must be deposited within four (4) business days;
In the event the Treasurer cannot make a deposit, the assistant Treasurer or another member of the Executive Board will make the deposit according to the guidelines outlined above;
Serve as signatory on checks;
Present the following to the Executive Board and the Band Director(s):
An annual record of account by May 15 of each year, for audit The members of the Executive Board may call for additional audits at any time deemed necessary;
Sales Tax reports, if applicable;
1099’s, if applicable;
File a periodic report within 30 days of the close of the LHBB Fiscal Year once every 4 years with the Secretary of State;
File a yearly tax return within 4 months of the close of the LHBB Fiscal Year
Provide any other information requested by LHISD, the Principals, the Band Directors and the Executive Board, regarding financial operations;
Maintain records of all activities and best practices to pass on to their successors

The Vice President of Color Guard shall:
Act as liaison between the LHBB, the Color Guard, and the Band Directors;
Organize Volunteers for Winter Guard;
Oversee the work of the following operational leaders, if appointed by the Executive Board, including, but not limited to:
the coordinator(s) for any show(s) or contest(s) hosted by the LHHS Color/Winter Guard
Be responsible for creation and coordination of sub-committees, as needed, for various needs voted on by the Executive Board and/or General Membership;
Maintain records of all activities and best practices to pass on to their successors

The Vice President of Event Planning Shall:
Obtain approval of all events planned in the name of the organization from the Executive board and the Band Director(s) prior to implementation;
Oversee the work of the following operational leaders, if appointed by the Executive Board, including, but not limited to:
the coordinator for LHBB social events
the Everything Day Coordinator;
the coordinator(s) for any show(s) or contest(s) hosted by the LHHS Band or LHBB
the Merchandise Coordinator
the Stand Fans coordinator(s)
the Mum coordinator(s)
Be responsible for creation and coordination of sub-committees, as needed, for various events voted on by the Executive Board and/or General Membership;
Assist the Student social team to ensure that venues, food selection options, and pricing meet the budget determined by the Executive Board and General Membership;
Act as liaison between LHBB Treasurer and Banquet Coordinator, venues, caterers, and registered attendees to ensure payment arrangements are met in a timely manner;
Monitor event timelines and ensure deadlines are met;
Coordinate event logistics, including registration and tracking, presentation and materials support;
Report to the Executive Board and General Membership the status of all ongoing event planning activities;
Act as liaison between the organization and the Band Directors for all matters pertaining to event planning;
Maintain records of all event planning and best practices to pass on to their successor

The Vice President of Fundraising shall:
Ensure that all fundraising activities of LHBB are planned, managed, coordinated, and accomplished using the highest level of transparency and in accordance with any federal or state laws, federal or state regulations or LHISD policies concerning fundraising
Ensure that all material necessary for completion of any planned fundraising event is designed, printed, or obtained;
Report to the Executive Board and General Membership the status of all ongoing fundraising activities;
Be responsible for creation and coordination of sub-committees, as needed, for various fundraising events which may include but are not limited to: March-A-Thon, Christmas concert raffle baskets, golf tournament, garage sale, recycling drives, or any other fundraising event voted on by Executive Board and/or General Membership;
Maintain records of all fundraising activities and best practices to pass on to their successor

The Vice President of Technology shall:
Be responsible for all Cognito form building;
Prepare new (if applicable) and/or regularly update LHBB website content The website must include the most current set of LHBB Bylaws, UIL Guidelines for Booster Clubs, and the most recent meeting minutes;
Serve as Google workspace super admin facilitating email addresses for board members;
Provide communication to the community in support of fundraisers, events, and other LHBB and band activities;
Maintain a member database;
Oversee the work of the following operational leaders, if appointed by the Executive Board, including, but not limited to:
the Webmaster and/or System Administrator
the Social Media Coordinator
the Photography Coordinator
Maintain records of all activities and best practices to pass on to their successors

The Vice President of Volunteers shall:
Preside as President in his/her absence;
Oversee the work of the following operational leaders, if appointed by the Executive Board, including, but not limited to:
Pit Crew and Prop Crew Coordinators, and any equipment truck drivers;
Chaperone Coordinator;
Snacks and Meals Coordinators;
Uniform Coordinator
Med Team
Be responsible for volunteer information and background checks;
Maintain records of all Vice Presidential duties and best practices to pass on to their successor em description
